INTRODUCTION & OVERVIEW
Welcome to the Rabbsfarm Primary School Senior Leadership Team (SLT). This handbook has been created to guide and inform all members of the SLT regarding their duties, conduct, expectations, and professional standards within Rabbsfarm.
As a member of the SLT, you hold a position of trust, professionalism, and example. The team’s purpose is to ensure the school operates effectively, safely, and in line with Rabbsfarm’s values of Respect, Care, and Learning.
Your role includes overseeing staff, maintaining behaviour standards, guiding training quality, supporting department leaders, and representing the school with integrity at all times. Every SLT member contributes to the success and reputation of Rabbsfarm both in and out of sessions.
Please read this handbook carefully and refer back to it regularly. You are expected to follow every policy and procedure outlined here to ensure consistency, professionalism, and fairness across the school.
The SLT is built on teamwork, respect, and leadership, we maintain the high standards that Rabbsfarm is known for.

MEETINGS
SLT Meetings are common and all SLT members are expected to attend. Meetings are hosted during, before or after a session, Meetings are announced beforehand (1 Day - 5 Hours) and are posted by an Director of Operations in the #SLT-ANNOUNCEMENT Channel. Type of Meetings
Behaviour and Conduct meeting (BCM) Review staff and pupil behaviour across the campus. Discuss repeated issues or incidents. Review how effectively staff enforce behaviour policies. Plan behaviour improvement strategies and rewards for positive conduct.
Teaching & Learning Meeting (TLM) Discuss classroom performance and teaching quality. Share effective teaching techniques. Review recent training feedback and identify weak points. Plan curriculum-related improvements or lesson updates.
Staff Standards & Professionalism Meeting (SSPM) Review professionalism of all staff during sessions and on-campus. Discuss grammar standards, presentation, and communication quality. Address staff complaints or concerns regarding conduct. Set or update professionalism expectations for the upcoming week.
Safeguarding & Welfare Meeting (SWM) Discuss pupil welfare and safeguarding concerns in roleplay scenarios. Ensure staff are handling sensitive situations appropriately. Review staff responses to bullying, crying pupils, or emergencies. Plan updates to safeguarding and wellbeing policies.
Curriculum & Activity Planning Meeting (CAPM) Plan upcoming lessons, term events, and school roleplay activities. Coordinate with the Teaching Department to align content. Schedule special assemblies or seasonal events (e.g., Christmas Fair). Review and improve educational roleplay realism.
Training & Development Meeting (TDM) Evaluate the success of previous training sessions. Identify Trainers and Assistants who need improvement. Discuss new training formats or updates to the guide. Approve Trainer/Host/Promoter certifications.
Performance & Promotions Meeting (PPM) Review staff promotions, demotions, and performance logs. Discuss inactive or underperforming staff. Approve promotion recommendations from Promoters. Plan the next promotion cycle.
Pastoral & Inclusion Meeting (PIM) Discuss pupil inclusion, kindness, and equality in roleplay. Ensure all pupils feel welcomed and valued. Plan assemblies or initiatives about respect and friendship. Review pupil feedback or behaviour logs.
General SLT Briefing (SLTB) Quick catch-up or emergency meeting when urgent matters arise. Used for immediate updates (policy changes, security issues, etc.). Usually short and focused, under 15 minutes.
School Improvement Planning Meeting (SIPM) Long-term planning of goals for RPS. Review progress on key priorities (e.g., behaviour, training quality). Set measurable targets for the next term or month.

LEADERSHIP STRUCTURE
Rabbsfarm Primary School’s leadership framework ensures clear accountability, organisation, and teamwork across all departments. Every leader has a defined purpose and contributes to the smooth operation of the school both in and out of sessions.
Below is the leadership hierarchy used within the school:
Executive Leadership Team (ELT)
Founder / Executive Director Oversees all school operations, game systems, and management. Responsible for final decision-making, development, and long-term vision of Rabbsfarm.
Co-Owner / Managing Director Assists the Founder in managing daily operations, recruitment systems, and HR. Supports the Director of Operations in scheduling and performance oversight.
Director of Operations (DoO) Supervises session planning, event scheduling, and day-to-day school functioning. Ensures staff teams work efficiently and uphold professionalism standards.
Director of Education (DoE) Leads educational standards, lesson content, and curriculum design. Works with Assistant Headteachers to maintain quality teaching and realism.
HR Director Manages recruitment, promotions, and conduct tracking. Handles HR-related reports and ensures fairness across all staff decisions.
Board of Governors / Trust Representative Serves in an advisory role to guide long-term goals and major policy decisions. Reviews performance and ensures quality consistency.
Senior Leadership Team (SLT)
Headteacher — Overall leader of Rabbsfarm. Responsible for school direction, policies, and final decision-making. Oversees all operations and departments.
Deputy Headteachers — Assist the Headteacher with key operational responsibilities, including behaviour, staff standards, training quality, and performance management. Deputies act as second-in-command.
Assistant Headteachers — Manage specific areas of school life such as Curriculum, Teaching & Learning, and Pastoral Care. They support department leads, monitor staff activity, and lead improvement meetings.
Directors of Operations / Standards / Behaviour / Curriculum — Each Director oversees their designated school area, ensuring policies are correctly followed and all systems operate efficiently. They report directly to the Headteacher and Deputies.
Heads of Department (HODs) — Responsible for managing their department’s staff (e.g., Teaching, Events, Training, Safeguarding). They ensure sessions, trainings, and roleplay events are professional and well-organised.
Assistant Heads of Department (AHoDs) — Support their Head of Department, help with supervision, and assist with daily running of activities, events, or trainings.
Middle Leadership Team (MLT)
Senior Managers and Managers — Oversee specific school duties such as classroom coordination, supervision of assistants, or managing year groups. They serve as the bridge between general staff and department leads.
General Staff
Teaching Staff / Classroom Staff / Supervisors — Deliver daily lessons and assist with roleplay. They report to their department leadership and are expected to uphold all professionalism standards set by the SLT.
Each level of leadership is expected to work collaboratively, maintaining open communication, professionalism, and consistency throughout the school.
MEETINGS & COMMUNICATION
Effective communication is the foundation of a successful leadership team. At Rabbsfarm, all SLT members are expected to maintain clear, calm, and timely communication with one another.
Communication Channels:
In-Game Radios: Used during sessions for quick communication and coordination. Radios must be used respectfully and for relevant purposes only.
Discord: The main platform for announcements, updates, and logs. All SLT members must check channels such as #staff-announcements, #slt-announcements, and #training-updates daily.
Direct Messages: Used for confidential communication or urgent matters. Always remain professional and polite.
Group Wall / Trello / Google Forms: Used for logging events, meetings, and feedback.
Professional Communication Standards:
Always use grammar and polite language.
Address staff and pupils respectfully at all times.
Avoid public criticism; discuss staff issues privately.
Keep messages concise and relevant to the topic.
Never share internal information or screenshots outside of RPS systems.
Meeting Etiquette:
Arrive 5–10 minutes before the meeting start time.
Remain muted or quiet unless requested to speak.
Listen attentively and take notes when necessary.
Respect all other attendees and their opinions.
Record meeting outcomes where required.
Clear communication within SLT ensures that all school operations remain coordinated, efficient, and professional.
BEHAVIOUR & CONDUCT MANAGEMENT
Maintaining excellent behaviour and conduct standards is central to Rabbsfarm’s identity. All SLT members are expected to model outstanding behaviour, support staff in managing incidents, and ensure pupils feel safe, respected, and included in all sessions.
Behaviour Expectations for Staff and Pupils:
All staff and pupils must use grammar at all times.
Politeness and respect are mandatory — no rudeness, shouting, or caps.
Pupils should follow all staff instructions immediately.
Staff should act as positive role models at all times.
Handling Behaviour Incidents:
Low-Level Behaviour (e.g., not listening, shouting, wandering):
Give a polite verbal reminder.
If behaviour continues, issue a warning and move the pupil aside for a calm talk.
Medium-Level Behaviour (e.g., disrupting class, ignoring staff, mild disrespect):
Inform an SLT member via radio or in-person.
Discuss the behaviour privately and set clear expectations.
If the pupil continues, remove them from the classroom temporarily.
High-Level Behaviour (e.g., aggression, trolling, persistent disruption):
Contact an Assistant Headteacher or above.
Record the incident in behaviour logs.
A Deputy or Headteacher may issue removal or restriction from future sessions.
Supporting Staff with Behaviour:
Always back up staff who are handling incidents.
Correct them privately if they make mistakes, never in front of pupils.
Provide guidance on tone, body language, and professionalism.
Positive Behaviour Reinforcement:
Praise pupils who show good manners and engagement.
Encourage “Star of the Week” or other reward systems.
Publicly thank well-behaved classes at the end of lessons.
Conduct for SLT Members:
Always remain calm and impartial.
Avoid taking sides — act fairly and factually.
Document any serious issue immediately.
Support the Headteacher and Deputies with follow-ups.
Upholding behaviour standards ensures that Rabbsfarm remains a safe, friendly, and professional environment for all players and staff.
STAFF DISCIPLINE & CONDUCT MANAGEMENT
All members of staff are expected to uphold Rabbsfarm Primary School’s standards of professionalism at all times, both on and off campus. Staff behaviour directly reflects on the reputation of the school and the quality of roleplay offered to pupils.
Expectations of Conduct
Staff must remain respectful, fair, and professional during all sessions.
Language should always be appropriate and free from slang, excessive punctuation, or abbreviations.
Staff should never abuse moderation powers or exploit commands.
During lessons or RP situations, teachers should act as realistic educators, ensuring that all pupils are included and engaged.
Staff must not argue in public chat; all disputes should be taken privately to an SLT member.
Staff Warnings & Disciplinary Action
Disciplinary action is only taken when absolutely necessary and follows a fair, staged process.
Verbal Warning
Issued for minor offences (e.g., tardiness, unprofessional tone).
Given by Assistant Headteacher+ and recorded internally.
Written Warning
Issued for repeated minor offences or a single moderate offence (e.g., disrespect, negligence).
Logged formally by the HR Department.
Final Warning
Given for serious misconduct or continuous unprofessionalism.
May include suspension from sessions.
Termination / Removal
Reserved for severe or repeated rule breaches (e.g., admin abuse, harassment, insubordination).
Approved by the Director of Operations or Executive Leadership.
Appeals
Staff may appeal any formal disciplinary action through HR. Appeals must be made within 48 hours of the decision and include clear reasoning for review.
COMMUNICATION & PROFESSIONAL LANGUAGE
Communication is central to maintaining professionalism and positive culture at Rabbsfarm Primary School. All staff, especially those in leadership or teaching positions, must communicate clearly and appropriately across all platforms.
In-Game Communication
Always use proper grammar and punctuation when addressing pupils or staff.
Avoid excessive capitalisation, spam, or off-topic conversations during active sessions.
Keep messages relevant to the classroom, playground, or event scenario.
Do not use command prefixes (such as :m or :sm) unless officially hosting or moderating.
Discord Communication
All messages in official channels must remain professional and respectful.
Do not engage in unnecessary arguments or negative discussions.
Use #support or #hr-contact for internal concerns, not public channels.
SLT announcements must be approved by a Director before being published.
External Communications
Any public communication about Rabbsfarm Primary School (such as Roblox group walls or social media) must reflect the school positively and avoid sharing confidential information.
Key Standards
Address colleagues formally where possible.
Maintain calm and professional tone at all times.
Remember that you represent the school both inside and outside of the game.
SESSION EXPECTATIONS & ATTENDANCE
Every staff member at Rabbsfarm is expected to maintain consistent attendance and punctuality. Regular participation ensures fairness, active school operations, and a high-quality experience for pupils.
Attendance Requirements
Staff must attend a minimum of two sessions per week unless excused.
SLT are expected to attend at least one meeting per week unless prior notice is given.
Trainers, Hosts, and Assistants must be present for scheduled sessions 15–30 minutes before the start time.
Punctuality
Arriving on time demonstrates professionalism and commitment.
Staff who repeatedly arrive late without notice may face a verbal or written warning.
Reporting Absences
If you are unable to attend, you must:
Inform your Department Lead or Deputy Headteacher in advance.
Submit a leave request via the #staff-leave channel on Discord.
Include the dates and reason for your absence.
Inactivity & Removal
Staff inactive for more than two weeks without approved leave may be removed from their position. Long-term inactivity (one month or more) may result in full removal from the group unless prior notice is given to the Director of Operations or HR.
Reinstatement
Former staff removed for inactivity may apply for reinstatement through HR if their record remains clean and professional.

PROMOTION SYSTEM & CRITERIA
Promotions at Rabbsfarm Primary School are based on performance, activity, professionalism, and contribution to the school community. The process is designed to ensure fairness, consistency, and clear progression through the staff hierarchy.
Promotion Principles
Promotions are earned, not requested.
Professional conduct, reliability, and contribution are the main deciding factors.
SLT and Promoters will never promote based solely on friendship or seniority.
All promotions must be recorded internally by HR or the Director of Operations.
Promotion Process
Identification – Promoters and SLT observe staff during sessions and trainings.
Evaluation – Staff are reviewed for performance, communication, and teamwork.
Approval – Recommended promotions are discussed in the Performance & Promotions Meeting (PPM).
Announcement – Approved promotions are officially announced by HR or SLT.
Promotion Criteria by Level
Teaching Assistant → Class Teacher
Regular attendance at sessions.
Demonstrates initiative and good classroom support.
Professional and polite communication with staff and pupils.
Class Teacher → Head of Year / Department
Consistent performance in lessons.
Leadership and mentoring of other teachers.
Positive contribution to meetings and training sessions.
Head of Department → Assistant Headteacher
Strong leadership and management of staff teams.
Involvement in curriculum, events, or improvement projects.
Exemplary professionalism and reliability.
Assistant Headteacher → Deputy Headteacher / Headteacher
Outstanding leadership and dedication to the school.
Proven ability to manage behaviour, staff, and major school operations.
Excellent judgement, initiative, and consistent attendance.
Promotion Review Frequency
Promotions are typically reviewed once per week at the Performance & Promotions Meeting (PPM). Staff should not ask for promotions; this can be viewed as unprofessional.
TRAINING CERTIFICATIONS
Training certifications determine who is eligible to host, train, assist, or promote during training sessions. They are mandatory for maintaining a professional standard across all RPS training events.
Certification Levels
Host Certification
Required for: Deputy Headteacher+
Must pass a hosting assessment observed by a Director or Headteacher.
Must demonstrate confidence, organisation, and professionalism.
Trainer Certification
Required for: Head of Department+
Must complete the Trainer Programme and conduct a mock training under supervision.
Must understand all aspects of the RPS Training Guide.
Assistant Certification
Required for: Assistant Head of Department+
Must shadow at least two training sessions.
Must know how to guide and support trainers effectively.
Promoter Certification
Required for: Deputy Headteacher+
Must attend a minimum of two training sessions as an observer.
Must understand the promotion process, professionalism standards, and proper judgement.
Certification Revocation
Certifications may be revoked for inactivity, unprofessional conduct, or training breaches. Revoked members must reapply and complete re-assessment.
SAFEGUARDING & PUPIL WELFARE
Rabbsfarm Primary School prioritises the safety and wellbeing of all pupils in every roleplay scenario. Staff are responsible for ensuring that all pupils feel included, safe, and respected during every session.
Core Safeguarding Expectations
Always act as a responsible adult figure within the roleplay environment.
Do not discuss inappropriate, sensitive, or personal topics.
Treat all pupils equally regardless of age, background, or ability.
Report any concerning behaviour immediately to the Designated Safeguarding Lead (DSL) or Headteacher.
Handling Sensitive Situations
Staff should respond calmly, professionally, and supportively. Examples include:
Crying or upset pupils – Comfort, reassure, and involve a safeguarding lead if necessary.
Bullying incidents – Intervene immediately and report the matter.
Injuries or accidents – Direct the pupil to the Nurse or First Aider.
Safeguarding Meetings
Regular Safeguarding & Welfare Meetings (SWM) are held to review welfare procedures and update policies. Attendance is mandatory for Assistant Headteachers and above.
EVENTS & ROLEPLAY MANAGEMENT
Events and roleplay activities are an essential part of maintaining engagement and realism at Rabbsfarm Primary School. They promote creativity, teamwork, and school community spirit.
Event Examples
Seasonal events (Christmas Fair, Sports Day, School Disco).
Assemblies and whole-school gatherings.
Class projects, competitions, or exhibitions.
Parent visits and open days.
Event Organisation
Proposal Submission – Staff must submit an event idea to the Assistant Head of Curriculum or Director of Operations.
Approval – The proposal will be reviewed for safety, realism, and educational value.
Preparation – Event leads must assign clear responsibilities to staff and ensure necessary permissions are given.
Execution – All events should be run in a structured, age-appropriate, and realistic manner.
Roleplay Expectations
Events should maintain realism and professionalism.
All interactions must follow school rules and safeguarding standards.
Out-of-character jokes or comments are to be avoided during active events.
SAFEGUARDING AND CHILD PROTECTION
Safeguarding is the highest priority at Rabbsfarm Primary School. Every member of staff has a responsibility to ensure pupils are safe, supported, and treated fairly during all in-game and out-of-game interactions.
Safeguarding Responsibilities
All staff are required to immediately report any concerns relating to pupil welfare to the Designated Safeguarding Lead (DSL) or a Deputy DSL.
Concerns include, but are not limited to, bullying, harassment, discrimination, and inappropriate conduct.
Staff must never discuss sensitive safeguarding matters publicly or with non-SLT members.
All pupils should be treated with respect regardless of age, gender, religion, or background.
Real-life information about any player must never be requested or shared.
Roleplay Safeguarding Scenarios
When handling roleplay situations involving pupil welfare (e.g., injury, distress, bullying):
Remain calm and professional at all times.
Follow the appropriate RP safeguarding procedures (e.g., escort the pupil to the medical office or notify the DSL).
Avoid escalating or dramatizing the situation.
Log the incident for review by SLT if it affects pupil wellbeing.
HEALTH AND SAFETY
Health and Safety applies both to in-game environments and staff moderation practices. Rabbsfarm prioritises a safe, respectful, and structured environment for all participants.
In-Game Safety Procedures
Always ensure classrooms and play areas are free from disruption before starting RP.
Staff must not use excessive admin commands or teleport pupils unnecessarily.
Avoid spawning items or vehicles that may cause lag, harm, or disrupt lessons.
Ensure safe evacuation routes are known during drills or emergencies.
Emergency Protocols
In the event of an in-game emergency (e.g., fire drill, security incident, or severe glitch):
Follow the Host or Headteacher’s instructions immediately.
Maintain order and prevent pupils from panicking.
Do not teleport or slock unnecessarily unless directed by SLT.
Report the incident after the session for record-keeping.
CONFIDENTIALITY POLICY
Confidentiality ensures that all internal matters within Rabbsfarm remain secure and professional.
Key Principles
Do not share internal documents, training guides, or meeting notes with non-SLT members.
Avoid discussing confidential topics in public channels or private DMs outside of authorised conversations.
Any breach of confidentiality will result in disciplinary action, up to removal from SLT or the group.
Confidentiality continues to apply after you leave your position.
Document Security
All SLT and Leadership documents are stored securely and may not be distributed.
Staff who require access to restricted materials must have clearance from the Director of Operations or Headteacher.
LEADERSHIP EXPECTATIONS
The Senior Leadership Team (SLT) represents the highest standard of professionalism within Rabbsfarm Primary School. Each member is expected to act as a role model to staff and pupils alike.
Behaviour Standards
Display maturity and fairness in all interactions.
Make balanced decisions based on school policy, not personal opinion.
Support and guide staff constructively rather than critically.
Attend all relevant meetings and provide input where appropriate.
Mentorship and Guidance
SLT members should:
Support the development of Teachers, Assistants, and Trainees.
Provide regular feedback after sessions and trainings.
Identify staff showing potential and recommend them for promotion.
Encourage a positive and inclusive team environment.
CONFLICT RESOLUTION AND REPORTING
Even with professionalism, disagreements may occur. SLT members must handle all conflicts fairly, discreetly, and according to policy.
Internal Staff Disputes
Address the issue privately with the involved staff member first.
If unresolved, escalate to the relevant Assistant Headteacher or Deputy Headteacher.
Maintain professionalism; avoid personal bias or public arguments.
All incidents must be documented for accountability.
Pupil Disputes
Remain calm and neutral.
Separate involved pupils and gather brief explanations.
Resolve minor issues through discussion; escalate serious ones to SLT.
Never issue punishment without reason or evidence.
REVIEW, FEEDBACK, AND IMPROVEMENT
Continuous improvement is key to Rabbsfarm’s success. Feedback ensures that staff and leadership practices remain effective and professional.
Staff Feedback
Staff are encouraged to submit feedback to their Department Head or SLT regarding school systems, roleplay, or training.
Constructive feedback is always welcomed and used for improvement.
All feedback must remain respectful and professional.
Performance Reviews
SLT will periodically review staff performance based on session attendance, professionalism, and feedback from colleagues.
Underperforming staff will receive support and guidance before disciplinary action is considered.
High-performing staff will be recognised and considered for promotion.
POLICY UPDATES AND CHANGES
All policies within this handbook are subject to change. Updates may occur when school systems, Roblox guidelines, or leadership structures are revised.
Only the Executive Leadership Team (ELT) may approve official policy changes.
All SLT members are responsible for staying up to date with the most recent version of the handbook.
Outdated versions should be deleted immediately upon update.
Significant changes will be announced via the #SLT-ANNOUNCEMENTS channel on Discord.
FINAL NOTES AND CONDUCT AGREEMENT
By holding an SLT position at Rabbsfarm Primary School, you agree to uphold the values and standards set out in this handbook. Failure to comply with these expectations may result in disciplinary action, demotion, or removal.
All SLT members must:
